Invoices are not donation receipts
Use an invoice when the nonprofit is requesting payment for a service, program, sponsorship benefit, facility rental, or product. A donation acknowledgment serves a different purpose. Identify the organization, customer or sponsor, agreement, deliverables, fees, and payment terms without implying a tax deduction.
Restricted funds and sponsorship value
If the payment relates to a restricted program or grant cost share, include the project reference required by the payer. Sponsorship invoices should name the package and benefits. When part of a payment may be a charitable contribution, use accurate acknowledgment language separately and obtain appropriate tax guidance.
Frequently asked questions
Can a nonprofit send an invoice?
Yes. Nonprofits can invoice for program fees, services, sponsorship packages, rentals, products, reimbursements, and other amounts owed.
Is a nonprofit invoice a donation receipt?
No. An invoice requests payment. A donation acknowledgment records a contribution and may require separate information about goods or services provided.
