Free Training Program Proforma Invoice Template & Generator
A training proforma has to show which costs follow the cohort and which follow the head. Two onsite days are priced per cohort and do not shrink when four people drop out; workbooks, platform seats and per-participant fees do. Travel for two facilitators is estimated here and billed at actual against receipts. The document also carries the dates being held, the customization hours already spent on the client's own procedures, and the cancellation clause the deposit sits against.

Use-case checklist
What to include in a training program proforma invoice
The moment a client approves a training proforma, the provider starts spending money that cannot be recovered elsewhere: flights booked at a fare that will not refund, two facilitator days blocked out of a calendar, workbooks printed with the client's own shift-handover language in them. Learning and development teams, though, budget per head, so when a proforma shows only a total, a headcount slipping from 22 to 15 reads to them like a 32% price cut. Show the cohort-day fee apart from the per-participant lines and that conversation takes a minute instead of a week: $13,000.00 of this estimate never moved, $1,329.00 of it did. The cancellation reference matters for the same reason, because a deposit with no clause behind it is just a number the client can ask you to send back.
- provider, client, program, dates, and proforma number
- format, sessions, participants, and customization
- materials, platform, travel, and expenses
- price, currency, tax, deposit, and payment
- validity, cancellation reference, and proforma status

How to make a training program proforma invoice in 6 steps
Open the proforma invoice generator
Start from this page so the proforma invoice opens with fields and sample lines already set up for trainers, education providers, and corporate learning firms. No account is needed to create or preview.
Enter both parties
Add your business name, address and contact details, then the customer name and address exactly as they should appear on the record.
Add the training program lines
Replace each sample line with the real work or goods. Make sure the document shows provider, client, program, dates, and proforma number, format, sessions, participants, and customization, materials, platform, travel, and expenses.
Check the figures
Totals calculate as you type. Confirm quantities, rates, any tax line and the final total against your own records before you send anything.
Set the reference and dates
Give the proforma invoice a unique number and the correct date so it can be traced later and matched to related documents.

Two onsite cohort days for 22 supervisors, with travel billed at actual
Wrenfield Learning Group quotes Cordray Manufacturing on Sep 15, 2026 for Frontline Supervisor Essentials, delivered onsite in Columbus, OH on Jan 20 and 21, 2027 to 22 supervisors by two facilitators. This proforma is what Cordray's L and D team takes to budget approval before the dates are held.
- Program delivery, 2 onsite cohort days at $6,500.00 per day, up to 18 participants included
- $13,000.00
- Additional participants, 4 above the 18 included, at $145.00 each
- $580.00
- Customization, 10 hours rewriting cases around Cordray's shift-handover procedure at $185.00
- $1,850.00
- Participant materials, 22 printed workbooks at $42.00
- $924.00
- Reinforcement platform access, 22 seats for 12 months at $65.00
- $1,430.00
- Travel and expenses for two facilitators, airfare $1,240.00, lodging 4 room nights at $189.00 ($756.00), per diem $444.00, billed at actual against receipts
- $2,440.00 estimated
- Fixed program lines, everything except travel
- $17,784.00
- Estimated proforma total including estimated travel (no sales tax applied in this illustration; whether training services and printed materials are taxable differs by jurisdiction, so confirm yours with a tax adviser)
- $20,224.00
- Deposit to hold Jan 20 and 21, 2027, 40% of the fixed program lines, cancellation terms per section 7 of the master services agreement
- $7,113.60
- Balance, fixed lines less the deposit, invoiced after delivery, plus travel at actual
- $10,670.40 plus actual travel
The figure readers get wrong is the deposit base. Taking 40% of the $20,224.00 estimate rather than the $17,784.00 of fixed lines collects $976.00 against travel nobody has booked yet, which becomes a refund argument the moment a flight comes in cheaper than the estimate.
When this document is the right choice
Use this proforma invoice to show an expected transaction before a final invoice exists. A proforma invoice is a preliminary commercial document, not a final tax invoice or proof that payment is due. Replace it with the final invoice when the transaction is confirmed.
Frequently asked questions
Headcount drops from 22 to 15 ten days out. What actually comes off the total?
The per-participant lines, and nothing else. The four additional-participant fees disappear ($580.00), workbooks fall to 15 at $42.00, which is $630.00 and saves $294.00, and platform seats fall to 15 at $65.00, which is $975.00 and saves $455.00. That is $1,329.00 off, making the estimate $18,895.00. The $13,000.00 of cohort days stays, because the facilitators and the dates are already committed, and the customization hours were spent before anyone counted heads.
The client wants this delivered virtually instead of onsite. How does the proforma change?
Travel comes out entirely, the $2,440.00 estimate, and the workbook line usually changes form if you issue digital copies instead of printing 22. The cohort-day fee often changes too, because virtual delivery is normally split into shorter sessions across more days and the workable participant cap is different. Re-quote rather than subtracting travel from the onsite figure, and make sure the version the client approves is the one the deposit is calculated from, because 40% of a virtual quote is not 40% of this one.
The 22 platform seats run 12 months. What happens when a supervisor leaves partway through?
Settle it before the licenses are issued, because those seats are $1,430.00 of this quote and clients assume they are transferable. Some providers let a client reassign a seat to a replacement supervisor and some tie the license to the named person who sat the cohort, which matters when reinforcement content is drip-fed across a year. Put the rule beside the seat line along with who administers the account, who adds and removes users, and what happens at the end of the 12 months. Say what the reporting looks like too, whether Cordray sees progress by name or only in aggregate, since that is usually the first thing an L and D team asks for.
The session is postponed after the workbooks are printed and the flights are booked. Who carries that?
Whoever the cancellation clause in the signed agreement says, which is why the proforma should reference that clause by number instead of restating it from memory. The costs do separate cleanly in practice: 22 workbooks carrying Cordray's own procedure language ($924.00) and non-refundable airfare ($1,240.00) are spent money, while the cohort-day fee may be transferable to a new date. Agree in advance which costs bill on postponement and which travel with the booking.
Cordray wants two safety leads to sit in and watch. Do observers count against the 18 included participants?
Say which on the document, because the word participant is doing pricing work here. Eighteen are included in the $6,500.00 cohort day, four more are billed at $145.00 each, and if observers are counted the same way then two more heads is another $290.00 before materials. Observers still take up room capacity and usually still need a workbook at $42.00, and a manager watching their own team practice a difficult conversation changes how openly people take part. Agree the cap, whether observers are charged, and whether they join the exercises or only watch, then print that next to the included-participants line.
