Free Event Rentals Delivery Note Template & Generator
Rented goods go out and come back, so the delivery note is the opening count for an inventory you expect to recover. This one names the agreement and event, the venue and delivery time, each item by description and quantity contracted against quantity actually unloaded, what was set up and what was left stacked, the condition exceptions found at delivery, the pickup window, and the crew and receiver who signed the count.

Use-case checklist
What to include in a event rentals delivery note
On a rental, the delivered count is not paperwork, it is the baseline you will bill against two days later. Whatever the note says went onto the field is what the pickup crew counts toward, so a note signed for 200 chairs when 196 came off the truck bills the customer for four chairs that never existed, and a note that misses the linen you swapped for a burn hole hands them a loss charge for damage that was yours. Most deliveries land at a venue where the customer is not present and a banquet captain or a volunteer signs, so the count and the exceptions have to be legible to somebody who did not read the agreement. Get that wrong and you are arguing over a few hundred dollars with the client who books the field every October.

How to make an event rentals delivery note in 6 steps
Open the delivery note generator
Start from this page so the delivery note opens with fields and sample lines already set up for event-rental suppliers, venues, and planners. No account is needed to create or preview.
Enter both parties
Add your business name, address and contact details, then the customer name and address exactly as they should appear on the record.
Add the event rentals lines
Replace each sample line with the real work or goods. Make sure the document shows supplier, renter, event, venue, and agreement, asset or item, description, and quantity, delivered, installed, missing, and damaged status.
Check the figures
Totals calculate as you type. Confirm quantities, rates, any tax line and the final total against your own records before you send anything.
Set the reference and dates
Give the delivery note a unique number and the correct date so it can be traced later and matched to related documents.

Worked example
A tent and 200 chairs delivered a day early, four chairs short
Halyard Event Rentals delivers the Northgate Chamber harvest dinner to Miller's Field on Friday, October 2, 2026 at 2:15 p.m., a day ahead of the event, against agreement RA-7742. Pickup is booked for Sunday morning, and the truck leaves the yard four chairs short.
- Agreement RA-7742, delivery note DN-3318, delivered 2:15 p.m. Oct 2, 2026, pickup window 8:00 a.m. to noon Oct 4
- 4 crew on site
- 20 x 40 frame tent, installed and staked, 4 of 6 sidewalls hung at the customer's direction
- $1,450.00
- 60 inch round tables, 24 contracted, 24 unloaded and set
- $300.00
- Resin folding chairs, 200 contracted at $3.25, 196 unloaded on this truck, 4 short-loaded and delivered 7:40 a.m. Oct 3 on a second run
- $650.00, 196 signed here
- Ivory 90 x 132 linens, 24 at $16.00, one swapped at delivery for a burn hole and noted as the supplier's exception
- $384.00
- Rental subtotal
- $2,784.00
- Optional damage waiver accepted at booking, 9% of the rental subtotal
- $250.56
- Delivery, setup, and teardown labor, 4 crew at 3.0 hrs, $48.00 per hour
- $576.00
- Agreement total billed after delivery, before any sales tax; this example shows none, and both the rate and whether rental charges, waivers, and labor are taxable differ by jurisdiction, so confirm yours with your own tax adviser
- $3,610.56
- Return count Oct 4: 3 chairs at $32.00 and 2 linens at $44.00 missing, billed off the agreement's replacement schedule
- $184.00, revised total $3,794.56
Sign for what came off the truck, not for what the agreement says. If the receiver initials 200 chairs when 196 arrived, the Sunday count reads four short and the customer gets billed $128 for chairs that never left the yard.
When this document is the right choice
Use this delivery note to record which goods were delivered and accepted. A delivery note tracks items and quantities, normally without prices. The invoice handles payment; the signed delivery note supports quantity and condition checks.
Frequently asked questions
We short-loaded four chairs and brought them the next morning. What goes on the note?
Keep the contracted quantity and the unloaded quantity in two separate columns on the same line, so 200 contracted and 196 delivered both appear, then add the second run as its own dated line with its own signature. Do not correct the original note by overwriting it. The pickup crew counts against the total that was actually delivered, and two dated lines reconstruct that total without anyone having to remember a Friday phone call.
The field was empty at our delivery window and nobody could sign. How do we protect the count?
Photograph the delivered goods in place with the stacks countable, note the time, the location on site, and the name of whoever you reached by phone, then email the delivery note and the photographs before you leave. An unattended drop with a timestamped count that the customer received in writing that afternoon is defensible. The same drop with no photographs and no email is your word against a missing chair count.
The customer told us to hang only 4 of the 6 sidewalls. How do we keep that from reading as a shortfall?
Put the contracted configuration and the delivered configuration on the same line, name the person who directed the change and the time they directed it, and say where the other two sidewalls went, back on the truck or left folded on site. A tent set differently from the agreement is exactly the thing a customer remembers as missing equipment when the weather turns on Saturday afternoon. One line reading four hung at the customer's direction, two returned to the yard, ends that conversation before it starts.
A linen came off the truck with a burn hole. Where does that go?
On the delivery note, as an exception in your favor, before anyone signs. Mark the piece as supplier damage, note that it was swapped from spare stock at delivery, and keep the delivered quantity at 24. That single line is what stops the same burn hole from being charged back to the customer at pickup, which is the most common way a rental company loses the trust of a repeat client over $44.00.
Our damage waiver was accepted at booking. Does it cover the chairs that went missing?
Read your own waiver and the agreement it sits inside before you answer the customer, because coverage terms vary from company to company and place to place, and waivers that exclude items which never come back are common. In the example, the waiver did not stop $184.00 of missing chairs and linens from being billed. Whatever your policy says, print the exclusion on the agreement and mention it again on the delivery note so it is not a surprise on Monday, and have your own adviser confirm the wording if a customer disputes it.
