What to include in a photographer receipt
Photography money arrives in stages, often a year apart, and the retainer is the piece that gets argued over. A couple who paid at booking and again after the wedding remembers one number, not two, and will ask in September why the album they are collecting was never billed. A receipt showing the contract total, the retainer applied with its date and method, and the balance cleared leaves nothing to reconstruct from memory. It matters in the other direction too. If you deliver galleries before the final card payment settles and that charge is later disputed, the dated receipt naming the invoice, the shoot, and the last four digits of the card is the record the review asks you for.

Date the receipt when the funds cleared, not when you shot the wedding. The two are eight days apart here, and the payment date is the one a card dispute review works from. The tax here is illustrative in both directions: the 6.5% is an example rate, and whether an album, a print or a digital file is taxable at all is a jurisdictional question, so confirm both with your state revenue authority or your accountant.
When this document is the right choice
Use this receipt to give the customer a clear record after payment. A receipt confirms money already received. An invoice requests payment, so do not label an unpaid balance as a receipt or mark it paid before funds clear.
Frequently asked questions
My contract says retainer and the client keeps calling it a deposit. Which word goes on the receipt?
Use the word the signed contract uses, then show what it did: applied to invoice KV-2026-118 on the date it was received. Mixing the two names across the booking email, the contract, and the receipt is what makes a refund argument possible later. Do not introduce non-refundable on the receipt if the contract never said it, because a term the client is seeing for the first time on a payment slip is weak ground.
I shot images for a brand and they are paying a separate usage fee. How should that show up?
Give it its own line naming the grant reference and the term, for example commercial license LG-2026-07, twelve months, web and paid social. Do not restate the whole license on the receipt; it records a payment, not the grant. Keeping the usage fee apart from the shoot fee also lets you show a client who returns for a renewal exactly what they bought last time and at what price.
The couple is paying the balance in three monthly installments. One receipt or three?
One per payment, each with the same invoice number and a running balance, so the third receipt reads as the closing one rather than a standalone $999.10 charge. If you deliver the gallery before the last installment clears, say so on the receipt with a line such as files released Jun 20, balance outstanding. That single sentence is what stops a later argument about what was owed when delivery happened.
Should the album order sit on the wedding receipt or get its own?
If it was priced in the original contract, keep it on the same receipt as a separate line, the way the $420.00 album sits under the coverage fee above. If it was ordered months later at a new price, issue a separate receipt with its own number and its own date. The test is which agreement the money paid down, not which client sent it.
I pay a second shooter for the day. Does that appear anywhere on the client's receipt?
No. What you pay a second shooter is your cost of delivering the coverage, not a charge the couple agreed to, and putting it on their receipt invites a conversation about your margin instead of about the eight hours they booked. The client's receipt shows the coverage package at the contracted price, which is what the $3,400.00 line above does. If your contract prices a second photographer as a named add-on, show it at the contract price rather than at what you paid. Keep the second shooter's own invoice in your records, where it belongs for your books and for whatever they are owed.
