Free Daycare Receipt Template & Generator

A daycare receipt is usually going somewhere else: to a parent's reimbursement account, to a separated co-parent, or into a family's own records at year end. So it has to carry the provider name and address, the payer, a child or account reference, the exact care dates covered, each fee on its own line, and the amount and date of every payment that cleared. Registration, meals, approved extra hours, and closure credits stay separate from tuition.

Use-case checklist

What to include in a daycare receipt

Reimbursement claims are rejected for paperwork reasons far more often than for eligibility ones, and the usual cause is a receipt that says September tuition without naming the days of care, the child, or the provider's address. The parent then comes back to you weeks later asking for a corrected document, from memory, for a month already closed. The second pressure point is withdrawal. When a family gives notice mid-month after prepaying four weeks, the only thing separating an earned amount from an unearned one is a receipt that states the period covered and the credits already applied. Plan requirements differ between administrators, so ask a parent what their plan needs before you standardize the layout.

Complete it cleanly

Include provider details, parent or payer, child name or account reference, care period, fee lines, amount, method, and received date. Avoid adding sensitive medical or family information.

How to make a daycare receipt in 6 steps

  1. Open the receipt generator

Start from this page so the receipt opens with fields and sample lines already set up for daycare providers and in-home childcare businesses. No account is needed to create or preview.

  2. Enter both parties

Add your business name, address and contact details, then the customer name and address exactly as they should appear on the record.

  3. Add the daycare lines

Replace each sample line with the real work or goods. Make sure the document shows provider and payer details, child or account reference, care dates or tuition period.

  4. Check the figures

Totals calculate as you type. Confirm quantities, rates, any tax line and the final total against your own records before you send anything.

  5. Set the reference and dates

Give the receipt a unique number and the correct date so it can be traced later and matched to related documents.

  6. Review and download the PDF

Include provider details, parent or payer, child name or account reference, care period, fee lines, amount, method, and received date. Avoid adding sensitive medical or family information. Preview is free; a PDF download costs $4.99, or is included with Unlimited.

Write the care dates, not just the month. Aug 31 through Sep 25, 2026 survives a reimbursement review; September 2026 often does not, because the reviewer cannot tell which days were actually covered. Keep medical, custody, and behavioral notes off the receipt entirely.

When this document is the right choice

Use this receipt to give the customer a clear record after payment. A receipt confirms money already received. An invoice requests payment, so do not label an unpaid balance as a receipt or mark it paid before funds clear.

Frequently asked questions

A parent's dependent care plan rejected the receipt I gave them. What was probably missing?

Most rejections come down to four details: the provider's legal name and address, the exact dates of care rather than a month name, the child's name or the account it maps to, and the amount actually paid with the date it was paid. An invoice showing what was owed is not the same document as a receipt showing what cleared. Requirements vary between plan administrators, so ask the parent to send you their plan's checklist and build to that.

Parents keep asking for my tax identification number on the receipt. Should I add it?

That is a decision to make once, with your accountant, and then apply consistently. Many home-based providers obtain an EIN specifically so they are not circulating a personal Social Security number across dozens of families each year. Whichever number you use, put it in a fixed spot on the receipt so you are not fielding the same request by text every January, and make sure it matches what your own filings show.

We closed for two days. Does that belong on the receipt as a credit or a reduced tuition line?

Show it as a credit line with the dates, the way the $106.00 sits above against a $53.00 daily rate. A quietly reduced tuition figure makes the weekly rate look inconsistent from month to month and invites a parent to ask why September cost less than August. Whether closures are credited at all comes from your enrollment agreement, so make the receipt reflect that agreement rather than a case-by-case decision.

A family gives two weeks' notice after prepaying a month. What should the final receipt show?

Show the full amount received, the care dates actually covered, any notice-period tuition your enrollment agreement earns, and the unapplied balance stated as a separate figure. If you are refunding, issue the refund as its own dated document rather than editing the original receipt. Leaving the original intact is what lets both sides reconstruct the month later without either one relying on memory.

Our weekly rate goes up partway through a billing period. How should that statement read?

Split it. Show the weeks at the old rate with their dates and the weeks at the new rate with theirs, as two lines rather than one blended figure, so a parent comparing this statement to last month can see exactly where the change started. A single averaged weekly number is the one that generates a phone call, because it matches neither the rate they enrolled at nor the rate you announced. Name the date written notice went out on the statement too. How much notice you owe before a rate change, and in what form, comes from your enrollment agreement and sometimes from your state's licensing rules, so confirm both before the increase rather than after the first statement goes out.
