Free Consulting Receipt Template & Generator

A consulting receipt exists so a payment can be matched inside someone else's accounts payable system. That means the statement of work, the purchase order, and the invoice number all appear on it, along with the milestone or billing period the money settled, the acceptance date behind that milestone, reimbursable expenses shown apart from fees, any retainer applied, and the exact amount received with the date it landed and its ACH or wire reference.

Use-case checklist

What to include in a consulting receipt

A consulting payment travels through a client's accounts payable queue, where it is matched against a purchase order by number and nothing else. A receipt without the PO cannot be filed, and the next milestone stalls behind an unreconciled line item while your contact insists it was approved weeks ago. Short payments are the more expensive version of the same problem. A client deducts $200.00 for a duplicated lodging night, the deposit still reads as a payment, and the gap sits on your aged receivables until someone writes it off without ever learning what it was. Recording the deduction against a credit note on the receipt closes the invoice honestly and keeps the reason attached to the figure.

Complete it cleanly

Reference the engagement, SOW, PO, and invoice where applicable. State the payment method, covered milestone or period, amount received, date cleared, and any remaining balance without restating confidential deliverables.

How to make a consulting receipt in 6 steps

  1. Open the receipt generator

Start from this page so the receipt opens with fields and sample lines already set up for consultants and advisory firms. No account is needed to create or preview.

  2. Enter both parties

Add your business name, address and contact details, then the customer name and address exactly as they should appear on the record.

  3. Add the consulting lines

Replace each sample line with the real work or goods. Make sure the document shows consultant, client, and engagement, SOW, PO, and invoice reference, retainer, milestone, or billing period.

  4. Check the figures

Totals calculate as you type. Confirm quantities, rates, any tax line and the final total against your own records before you send anything.

  5. Set the reference and dates

Give the receipt a unique number and the correct date so it can be traced later and matched to related documents.

  6. Review and download the PDF

Reference the engagement, SOW, PO, and invoice where applicable. State the payment method, covered milestone or period, amount received, date cleared, and any remaining balance without restating confidential deliverables. Preview is free; a PDF download costs $4.99, or is included with Unlimited.

Worked example

Milestone 2 paid net of a duplicated expense line

Rowan Delta Advisors delivered an operations diagnostic to Kestrel Foods Inc. under SOW KF-SOW-04, purchase order 4500118872. The client accepted the milestone on June 30, 2026 and paid invoice RD-2026-032 by ACH on August 4, deducting one lodging night billed twice.

Milestone 2 fixed fee, operations diagnostic accepted Jun 30, 2026, PO 4500118872
$18,000.00
Reimbursable travel under SOW section 5, two site visits, receipts attached to the invoice
$2,146.80
Invoice RD-2026-032 total, issued Jul 6, 2026
$20,146.80
Less engagement retainer received Mar 3, 2026, applied to this milestone
-$3,000.00
Net amount invoiced after the retainer credit
$17,146.80
Payment received Aug 4, 2026, ACH remittance reference ending 4417
-$16,946.80
Credit note CN-2026-11 for one lodging night billed twice, agreed Aug 5, 2026
-$200.00
Balance remaining on invoice RD-2026-032
$0.00
Retainer remaining against future milestones
$0.00

The $200.00 gap needs a credit note, not silence. If you record only the $16,946.80 received, the invoice sits open forever and eventually gets written off by someone who no longer knows why. Name the deduction, credit it, and let the balance reach zero on purpose.

When this document is the right choice

Use this receipt to give the customer a clear record after payment. A receipt confirms money already received. An invoice requests payment, so do not label an unpaid balance as a receipt or mark it paid before funds clear.

Frequently asked questions

The client short-paid by $200.00 for an expense they rejected. How do I record it?

Record the payment at the amount that actually arrived, then add a credit line for the deduction referencing a numbered credit note and the date it was agreed. That brings the balance to zero deliberately rather than by attrition. If you have not agreed the deduction yet, leave the $200.00 open on the invoice and say so on the receipt; a disputed amount you never raised becomes very hard to collect once the engagement closes.

Which reference does the client's accounts payable team actually need?

The purchase order number, every time, because that is what their system matches against. The invoice number lets them find your document and the SOW reference settles scope questions, but a payment with no PO on it typically sits unmatched until someone emails you. Put all three at the top of the receipt in the same order your invoice uses, and use the client's exact formatting for the PO, including leading digits.

Should the milestone acceptance date be on the receipt as well as the payment date?

Yes, and keep them visibly distinct. Acceptance on June 30 is what triggered the right to invoice and often what starts the clock on the next phase; payment on August 4 is when the money moved. Collapsing the two hides a thirty-five day gap that matters when you are arguing about a late payment or when your bookkeeper is deciding which period the fee belongs in.

The purchase order is nearly exhausted and one milestone is still to come. What should the receipt show?

Show what this payment consumed and what is left against the PO. A line reading PO 4500118872, this invoice $20,146.80, with the balance left on the PO stated beside it, turns a surprise into a scheduling problem you can raise now. Accounts payable cannot pay past a ceiling, so an invoice that exceeds it does not get queried, it simply sits, and your contact usually learns about it from you rather than from their own system. If the final milestone will not fit, ask for the PO to be increased before you invoice rather than after, and keep the original PO number on the receipt once it is raised so the whole engagement still reconciles under one reference.

The manager who accepted the milestone has left the client. Does that weaken the receipt?

Not if the document already names them. A receipt reading milestone 2 accepted June 30, 2026 by the named operations director, against SOW KF-SOW-04 and PO 4500118872, records who accepted and when, which is what a replacement contact needs in order to sign off on the next phase without reopening the last one. Add the reference of the acceptance email or the signed acceptance form, so the underlying record can be found by someone who was not there. Acceptance that lives only in a personal inbox effectively leaves when the person does, and a new contact starting from your invoice alone will usually ask for the work to be rejustified.
