A tenant forwarding a cleaning receipt to a property manager is trying to protect a security deposit, and a receipt reading only "cleaning services" plus a dollar amount leaves room to argue it covered a different unit, or a date after the keys had already been handed back. Cleaning disputes rarely turn on whether money moved; they turn on which unit the crew was standing in and whether the oven, the fridge, or the baseboards were actually part of the job. The itemized scope lines are the only things visible on the receipt itself that settle that.

Complete it cleanly
Write the address down to the unit number, use the date the crew actually worked rather than the day you sent the paperwork, and carry over the original invoice number so the customer can match this payment to what they were billed. Give every add-on its own line at its own price — oven, fridge, garage, interior windows — instead of folding them into the base clean. Then record the details a cleaning argument turns on: crew size and hours on site, whether the unit was vacant or occupied during the visit, and how the crew got in. This receipt shows that Vega paid Brightline $415.00 for work at Apt 3B on March 14; it is not proof the unit passed a walkthrough, and what a landlord may deduct from a deposit is governed by state law and the lease, not by this document. No sales tax line appears here because cleaning is taxed differently from state to state and sometimes by type of work — ask your accountant before deciding whether your visits should carry one.
When this document is the right choice
Use this receipt to give the customer a clear record after payment. A receipt confirms money already received. An invoice requests payment, so do not label an unpaid balance as a receipt or mark it paid before funds clear.
Frequently asked questions
My client is on a bi-weekly recurring clean. Should I issue a receipt per visit or one per month?
Issue one per visit if each visit is charged and paid separately, because that is the only way the visit date on the receipt matches the money that actually moved. If they pay one lump sum at month end, issue a single receipt but list each visit date as its own line. That matters in cleaning, where a week gets skipped because the client is home sick or traveling, and where a deep clean or a post-guest turnover is priced above the maintenance rate and should not vanish into a flat monthly figure. When a recurring client cancels, the last visit is the one that gets argued over, so keep that receipt itemized rather than lumped.
The tenant wants my receipt for their security deposit. What should be on it?
Managers typically check the unit number rather than just the street, the service date, and whether the scope lines match what the move-out instructions asked for. If the lease sets a deadline for returning the unit clean, a service date on the right side of that deadline helps; if it sets none, the date still ties the work to the handover. Name the oven, the fridge, and the floors instead of writing one "deep clean" line, and show the payment method and date so the document reads as paid rather than invoiced.
Should the cleaning line on my receipt include sales tax?
It depends on your state, and cleaning is one of the trades where the answer can change inside a single visit: some states treat recurring residential housekeeping differently from a one-off specialized job like carpet, upholstery, or oven cleaning, and differently again from commercial janitorial work under contract. That is a practical reason to keep add-ons on their own lines instead of folding them into the base clean — if part of a visit turns out to be taxable and part is not, you already have the split. Confirm your own situation with your accountant or your state revenue department, and if you do collect tax, put it on its own line above the visit total.
