Free Office Furniture Delivery Note Template & Generator
A furniture delivery is really two records in one. There is what came off the truck, counted by model and finish, and there is what ended up assembled and standing in the right room, counted by room tag. This note keeps both, adds the packaging that was hauled away, and captures the exceptions the customer signs against: a piece that never arrived, a damaged top that stays in service while a replacement is ordered, and the punch items the install crew leaves behind.

Use-case checklist
What to include in a office furniture delivery note
The install crew leaves on Friday, the customer moves in over the weekend, and on Monday a scratch appears on a conference table nobody mentioned at sign off. Whether you can answer that comes down to one thing: what the receiving signature actually recorded. A walkthrough signed piece by piece, clean where the piece was clean and with a numbered exception where it was not, gives you a dated description of the floor to point at. A signature on a note that says nothing about condition leaves the question open, and a replacement top plus a return trip is a four figure hit on a job that was already priced thin. Room tags carry the other half of the risk. Eighteen desks delivered is a true statement that still leaves you with a second mobilization if six of them are standing in the wrong offices, because moving assembled height adjustable desks down a corridor is a crew day nobody bid.

How to make an office furniture delivery note in 6 steps
Open the delivery note generator
Start from this page so the delivery note opens with fields and sample lines already set up for furniture dealers, installers, and office receiving teams. No account is needed to create or preview.
Enter both parties
Add your business name, address and contact details, then the customer name and address exactly as they should appear on the record.
Add the office furniture lines
Replace each sample line with the real work or goods. Make sure the document shows dealer, customer, project, PO, and order, room tag, model, finish, and quantity, delivered, assembled, installed, and missing status.
Check the figures
Totals calculate as you type. Confirm quantities, rates, any tax line and the final total against your own records before you send anything.
Set the reference and dates
Give the delivery note a unique number and the correct date so it can be traced later and matched to related documents.

Cross and Main Workplace installs a floor refresh for Rowan Analytics on Friday, August 21, 2026 against PO 2026-0455, dealer order ORD-7781. The crew works from the room tag plan for offices 401 through 418, and the office manager walks the floor with the lead installer before signing.

- Open on PO 2026-0455 after this install, 2 pedestals, plus a replacement table top on DM-204 at no additional charge

Received with exceptions is a different signature from received. Write the exception numbers on the line the customer signs, not on a separate punch sheet the crew carries away, because the document the customer keeps is the one that decides who pays for the table top.
When this document is the right choice
Use this delivery note to record which goods were delivered and accepted. A delivery note tracks items and quantities, normally without prices. The invoice handles payment; the signed delivery note supports quantity and condition checks.
Frequently asked questions
What is the difference between delivered, assembled, and installed on the note?
Delivered means the carton reached the floor, assembled means the piece is built but not necessarily placed, and installed means it is standing in its tagged location and functional. Keep them as separate states on the line rather than one received checkbox, because a customer who signs for eighteen desks delivered has not confirmed that eighteen desks are working at the right heights in the right rooms, and that gap is where return trips come from.
We found a scratch on a table top. Do we sign clean or sign with exceptions?
Sign with exceptions, give the damage its own number, and attach photographs taken on the floor before the crew leaves. In the example the table stays in service at $3,150.00 with exception DM-204 against it and a replacement top on order, so the customer has use of the room and the dealer has a dated record of exactly what was wrong. A clean signature on Friday makes Monday's scratch impossible to attribute.
Two pedestals never came off the truck. Is that a short ship or a freight claim?
Treat it as a short ship first and count the handling units against the dealer's load sheet and the carrier's paperwork while the truck is still there, because that is the only moment the evidence is free. An item that was never loaded usually sorts back to the warehouse and one that left the dock and did not arrive usually sorts to the carrier, but your dealer agreement and the carrier's own claim terms are what actually decide it, including how quickly a claim has to be filed, so check both rather than assuming. Write the shortage and a reship date on the note either way, so the customer has a commitment in hand rather than a promise from the crew lead.
How do room tags stop a furniture delivery from turning into a second trip?
A room tag ties each piece to a destination before anything is unwrapped, so the crew places from the plan instead of from memory and the walkthrough becomes a tag by tag check rather than a general impression. Print the tag on the line beside the model and finish, and have the walkthrough confirm tags rather than counts. Moving an assembled desk two offices down after sign off is a crew hour nobody quoted.
Who is responsible for the cartons and blanket wrap, and does that go on the note?
Put it on the note either way, because debris removal is the thing a customer remembers being promised and nobody wrote down. Say plainly whether the crew hauls packaging off the site, stacks it in a spot the building named, or leaves it for the tenant's own waste contractor, and whether that was inside the order; in the example removal is included and shows at $0.00 so it reads as delivered rather than forgotten. Hold back the carton and wrap for any piece carrying an exception, since a damaged top travels back far better in the packaging it arrived in, and a crew that has already crushed the cartons has made your replacement more expensive than it needed to be.
