What to include in a moving company quote
The gap between an hourly estimate and the final bill is where moving companies lose customers and reviews. A crew quoted at six hours that finishes in nine hands the customer an invoice half again larger than the number they remember agreeing to, and if the quote never said the clock includes travel back to the yard, or that a third-floor carry adds a flat charge, the collection call turns into a chargeback. The other half of the exposure is damage. Frequently asked questions
Is this a fixed price or an estimate, and how do I say which on the quote?
Say it in the first line under the total rather than in the terms at the back. Write either "not to exceed $1,923.00 for the inventory surveyed" or "estimate only, billed at $185.00 per hour for actual time recorded on the job sheet, 4-hour minimum." Then show what a shorter job costs, so the customer sees the number moves both ways. What you are allowed to call each type of estimate can be regulated where you operate, so confirm the wording with your state's mover regulator before you adopt it.
The customer adds a storage stop or three times the boxes the survey showed. What then?
Put the inventory basis on the quote itself: the rooms surveyed, the carton count you priced and the date of the walk-through. Then add a line saying that items, stops or access not shown at the survey are billed at the hourly crew rate plus any applicable flat charge, and that the crew leader notes the change on the job sheet before the work happens. A second stop in particular is a travel-time question, not a box question, so price it as time.
How do I quote a long carry or a parking problem I cannot see until move day?
Name the assumption instead of the charge. Write that the quote assumes truck parking within 75 feet of the entrance at both addresses, and state the flat charge that applies if the crew has to shuttle from farther away or if a permit or loading zone is not secured. Destination access is the one you cannot inspect on a local move, so ask the customer to confirm elevator reservations and dock hours in writing before the date.
How do I show valuation coverage on the quote without promising insurance?
List the options as separate lines with their cost and their deductible, the way full value protection appears above at $145.00, and have the customer select one in writing before move day. Describe it as the valuation level that applies to the shipment rather than as an insurance policy. What you must offer, what it may be called and how it has to be disclosed are set by the rules that apply where you operate, so confirm the wording with your insurer and your state regulator rather than borrowing another company's form.
What do I do about the propane tank and the half-used paint in the garage?
Put your non-allowables list on the quote rather than raising it on move day, when the customer has already packed the box. Fuels, propane, aerosols, ammunition, opened paint and household chemicals are the usual categories, along with plants and perishables riding in a hot truck. What a mover may carry, and what has to be disclosed first, is set by the rules that apply where you operate, so build the list with your insurer and your state regulator rather than copying a competitor's form. Ask the customer to empty the grill tank and the mower before the date, say that anything on the list stays at the door, and handle high-value items the other way around: set a declaration threshold and ask that jewelry, cash, documents and small electronics travel with them.
