What to include in a excavation estimate

The money on an excavation job moves after the bucket is already in the ground. Price the dig as one lump line called "excavation" and the morning the crew hits shale at six feet or a spring under the footing, you are renegotiating scope with a builder who already sold the lot off your number. Broken out into bank yards, swell factor, load count and machine hours, an unexpected condition moves one line both sides can point at instead of reopening the whole price. It cuts the other way too: if the hole closes out at 470 yards instead of 528, the builder can see exactly which line drops, and that is how you keep the next four lots on the street.

Complete it cleanly

Measure the dig footprint, not the foundation footprint: add the working space your crew needs outside the wall line, note whether the sides are benched or laid back, and write length, width and depth on the estimate so the builder can redo the arithmetic. Decide how much spoil stays on site for wall backfill and berm before you apply a swell factor, and put the factor you used in the text. Convert loose yards into loads against both limits on a truck, body size and legal payload, because on damp clay a tri-axle grosses out on weight long before the body fills. Name the machine class and say what the hours cover — mass dig, footing trenches and truck loading are not the same production as grading. Add the fixed items fast bids drop: mobilization both ways, 811 locates, silt fence, a stone construction entrance, and any compaction testing the inspector will call for. Close with a quantity-adjustment clause saying quantities are estimated in place and reconciled by a joint field measure once the hole is open, and size the deposit to what you lay out before the first progress bill — mobilization, the stone entrance, silt fence and the first days of trucking — rather than a flat percentage, with the balance tied to accepted rough grade.

This estimate proves what the price covers, not what is under the lot: it is written on common earth with no dewatering, so an abandoned septic line or a buried tank that no locate ticket showed is a separate line, never a cost you quietly absorb. The classic trap is the load count - quote 46 loads with no swell factor and no truck capacity written down, watch the pile come up at 52, and the six extra loads come out of your margin instead of a change order.

Frequently asked questions

The builder's superintendent counted trucks and got a different number than my estimate. Which measure wins?

Both counts can be honest, because they measure different things. Excavation quantities on an estimate are bank measure - volume in place off the plan, before the bucket loosens anything - while truck tickets record loose yards or scale weight after swell, so 400 bank yards leaves the hole as roughly 500 loose yards and the two numbers will never line up. Say on the estimate which measure governs payment: bank measure from a joint field shot before backfill, or scale tickets from the disposal site. Keep the tickets regardless, since the disposal site bills you on them and they are your only proof of what left the property.

Should I price rock excavation in the base number or exclude it?

Exclude it from the base price and give it a unit rate instead. Language like "price assumes common earth; rock requiring a hydraulic hammer or blasting is excluded and billed per cubic yard measured in place, with the owner notified before that work proceeds" is far easier to collect on than a change order invented the afternoon you hit ledge. Handle groundwater the same way, with a dewatering line covering pump, hose and an approved discharge point. Add a line for spoil that tests as contaminated, since that changes your disposal site and your tipping rate, not just your hours.

The spoil is too wet or too plastic to backfill with. How do I estimate imported structural fill?

Give it its own line and never fold it into the dig. Two different quantities are involved and mixing them is where the money disappears: the void you are filling is measured compacted in place, while the pit sells you material by the ton delivered, so convert between them and state the shrink allowance you applied. Price haul-off of the rejected spoil separately too, because that spoil is now extra loads nobody counted when the dig was bid. If the geotech has not published the fill spec yet, carry imported structural fill as an allowance at a stated unit rate rather than a fixed price.

I reprice a dig every time the soils report or the footprint changes. What do the PDFs cost?
