Free Security Deposit Cash Receipt Template & Generator

A security deposit receipt records money you are holding rather than money you have earned. It ties the cash counted at the counter to a specific lease or rental agreement, names the unit or asset the deposit secures, separates the refundable amount from rent and from any nonrefundable fee, and points at the dated condition report that will decide what comes back at the end of the term.

Use-case checklist

What to include in a security deposit cash receipt

A deposit is the one payment a tenant expects to see again, so it is also the one they ask about eighteen months later, usually at the worst possible moment. If the cash was receipted as a single lump alongside first month's rent, nothing on the page shows afterwards how much of it was refundable, and move out turns into two people reading the same slip differently. The condition report matters just as much: without a dated, signed record of how unit 4B looked on the day the keys were handed over, any deduction you make for damage is your word against theirs. Rules on how deposits must be held, whether interest accrues, and how quickly they must be returned vary widely by state, so confirm yours with an attorney or your state housing authority.

  • owner or rental company, payer, and agreement
  • property, unit, asset, or booking reference
  • security-deposit purpose and amount
  • cash date, receipt number, and receiver
  • careful reference to written holding and return terms

How to make a security deposit cash receipt in 6 steps

  1. Open the cash receipt generator

Start from this page so the cash receipt opens with fields and sample lines already set up for landlords, property managers, and rental businesses accepting cash. No account is needed to create or preview.

  2. Enter both parties

Add your business name, address and contact details, then the customer name and address exactly as they should appear on the record.

  3. Add the security deposit lines

Replace each sample line with the real work or goods. Make sure the document shows owner or rental company, payer, and agreement, property, unit, asset, or booking reference, security-deposit purpose and amount.

  4. Check the figures

Totals calculate as you type. Confirm quantities, rates, any tax line and the final total against your own records before you send anything.

  5. Set the reference and dates

Give the cash receipt a unique number and the correct date so it can be traced later and matched to related documents.

  6. Review and download the PDF

Reference the lease or rental agreement, property or asset, payer, cash amount, date, receiver, receipt number, deposit purpose, and written terms. Keep deposit funds and records according to the applicable agreement and requirements. Preview is free; a PDF download costs $4.99, or is included with Unlimited.

Cash deposit funds counted at the office before an October move in

Halverson Property Group leases unit 4B at 1120 Marsh Street to Ruben Ortiz under lease HPG-4B-2026, signed September 3, 2026 for an October 1 move in. Ruben brings the deposit funds to the office in cash on September 14 and walks the unit with the manager the same afternoon.

Refundable deposit funds, not rent

The mistake that costs landlords later is one receipt covering the deposit and first month's rent together. Once $1,650.00 of deposit funds and $1,350.00 of October rent land on the slip as a single $3,000.00 figure, nothing shows which part is refundable, and move out becomes an argument about arithmetic.

When this document is the right choice

Use this cash receipt to document a cash payment at the moment it is received. A cash receipt should identify the payer, amount, purpose, date, and person receiving the money. Keep a matching copy because cash does not create an automatic bank-card record.

Frequently asked questions

Can I put the security deposit and the first month's rent on one receipt?

You can, but keep them on separate labeled lines, because the lease treats the deposit as money you are holding and the rent as money you have earned. In the example the $1,650.00 of deposit funds is receipted on its own and the $1,350.00 of October rent appears as not yet received. Anything the lease calls nonrefundable, a cleaning or administration fee for instance, needs a third labeled line rather than a place inside the deposit total, since mixing them makes every dollar look refundable. Whether such a fee is enforceable where you operate is a separate question worth putting to your attorney.

Two roommates are on the lease and only one of them handed me the cash. Whose name goes on the receipt?

Name every tenant on the lease, then note separately who physically tendered the money and on what date. The deposit is held against the lease rather than against one person, and who the funds have to be returned to at move out is governed by the lease terms and by your state's rules, not by who happened to carry the cash to the office. A receipt made out to the payer alone quietly suggests otherwise, and it is the roommate who did not pay who will bring it up a year later.

Where does the cash go once I have counted it?

Wherever the lease and your state require, and that is not a detail to guess at. Some states require deposits to be held apart from operating funds, some require the tenant to be told where they sit, and some address interest. A receipt satisfies none of those obligations; it only proves the money arrived. Confirm the holding rules that apply to you with your state housing authority before your next move in.

Ruben paid the deposit and then never moved in. Does this receipt settle what he gets back?

It proves he handed over $1,650.00 on September 14 and nothing more. What happens to that money when a signed lease is abandoned before move in depends on the lease terms and on state law, not on anything written across a counter slip. Keep the receipt, the lease, and any written cancellation together in one file, and take advice before you keep or return the funds, because a wrong call here is expensive either way.

How does the move in condition report attach to a cash deposit receipt?

Reference it by name and date on the receipt, the way Exhibit B and its fourteen photographs appear above, and file the two documents together. The receipt establishes the amount you are holding; the condition report establishes the baseline every future deduction is measured against. Pair them at move in and you hold both halves of the record. Produce the deposit receipt alone at move out and you can prove the amount but not the damage.
