What to include in a utility payment cash receipt
Submetered utility charges get questioned far more often than rent does, because the amount moves every month and the resident has no statement from the power company to compare it against. If the receipt says only that $140.00 was received, someone who thinks August looks high has nothing to check, and you are rebuilding the calculation from your own spreadsheet weeks later. Readings printed on the face of the slip turn that conversation into arithmetic anyone can follow. Partial payments make it worse: take $140.00 against $142.07 and the $2.07 left behind resurfaces as a late fee nobody expected. Cedar Hollow Mobile Home Community submeters electricity to each lot and allocates water and trash across them. Linnea Foss at the park office takes cash from Tomas Beltran on lot 27 on September 8, 2026 for the August billing period, and he is a couple of dollars short.

The readings are the whole point. Operators who receipt a round cash figure with no start and end numbers cannot answer the one question residents actually ask, which is why August cost more than July, and the disputed month is always the one nobody documented. The charges here carry no tax or regulatory fee line for illustration only; what must be added, and what may be recovered at all, is set where you operate, so check before you build a rate sheet.

Use this cash receipt to document a cash payment at the moment it is received. A cash receipt should identify the payer, amount, purpose, date, and person receiving the money. Keep a matching copy because cash does not create an automatic bank-card record.
Frequently asked questions
Is the amount enough, or do the meter readings have to be on the receipt?
Put the readings on it. A start of 41,286 on August 1 and an end of 41,884 on August 31 make 598 kWh, and at $0.1420 that is $84.92 anyone can check. Without them the resident is asked to trust a number, and if the meter is later found to be misread or faulty you hold no dated record of what it showed. The readings also make it obvious when a leak or a failing unit is driving consumption.
Can I add a service fee on top of what the power company charged me?
Do not assume you can. States and utility regulators take different positions on whether a park or landlord may resell or submeter a utility at all, whether the charge must be a straight pass through, and whether administrative fees are permitted. A receipt that hides a markup inside the per kWh rate is the version most likely to cause trouble. If a fee is allowed and your agreement provides for it, show it as its own charge, and confirm the rules with your attorney or state regulator first.
The resident handed me $140.00 against $142.07. How should the receipt read?
Record the cash you actually took, then show the remaining $2.07 and the date it comes due, rather than rounding the account clean to save a line. Small carried balances are where utility accounts go wrong: two or three of them stack up, a late fee attaches to what the resident believed was a paid account, and they argue the point holding a receipt that said nothing about a balance. One extra line prevents all of it.
Water here is allocated by occupancy, not metered. How do I show that on a cash receipt?
Name the method, not just the amount. A line reading water allocated to lot 27 under the occupancy formula in the lot agreement, $26.40, tells the resident where the figure came from and points at the document that defines it. Keep the community's own water bill for that month filed with your copy so the allocation can be rebuilt. Allocation is treated differently from submetering in some states, so check yours before adopting a formula.
The submeter on lot 27 was replaced partway through the billing period. How does that month's receipt read?
Show two reading spans instead of one. Give the old meter's final reading on the day it came out, then the new meter's opening reading, usually zero, and its reading at period end, and add the two consumption figures to get the kWh you are charging for. Name the swap date and the installer's work order number, and keep that ticket filed with your copy. A month whose consumption came off two meters but whose receipt shows a single pair of numbers is a month you cannot explain later, and it is reliably the one a resident questions.
