Free Office Supplies Purchase Order Template & Generator
A routine supply order still needs a document, because the thing being authorized is not the paper, it is the spend and the account it lands in. Each line here carries the supplier's item number so the pick is exact, the cost center it will be charged to, and the unit as the supplier actually sells it, a case of ten reams rather than twelve. The face of the order carries the requester, the approver, and the limit.

Use-case checklist
What to include in a office supplies purchase order
Nobody disputes an office order, which is why the errors survive. An invoice with no cost center on it gets coded by whoever opens it, so leasing pays for the admin floor's toner and both budgets are wrong by year end. The approval limit fails the same quiet way: a manager with a $1,500 ceiling checks it against the subtotal on the screen, the order clears at $1,494.25, and the invoice lands at $1,602.58 once tax is on it, over the limit and already delivered. And a supplier's item number is the only thing standing between the cartridge you specified and a compatible one their system swapped in because yours was out of stock.
- buyer, supplier, requester, and PO number
- department or cost center
- item numbers, quantities, and unit prices
- ship-to contact and delivery date
- approval limit and substitution rules

How to make an office supplies purchase order in 6 steps
Open the purchase order generator
Start from this page so the purchase order opens with fields and sample lines already set up for small businesses and office managers. No account is needed to create or preview.
Enter both parties
Add your business name, address and contact details, then the supplier name and address exactly as they should appear on the record.
Add the office supplies lines
Replace each sample line with the real work or goods. Make sure the document shows buyer, supplier, requester, and PO number, department or cost center, item numbers, quantities, and unit prices.
Check the figures
Totals calculate as you type. Confirm quantities, rates, any tax line and the final total against your own records before you send anything.
Set the reference and dates
Give the purchase order a unique number and the correct date so it can be traced later and matched to related documents.
Review and download the PDF

Worked example
A quarterly order that clears the limit and then breaks it
Aldergate Property Management, twenty-eight staff across two departments, places its quarterly order with Trelane Office Products on account 44821 on July 7, 2026. The office manager holds a $1,500 standing approval limit; the controller signs anything above it.
- TR-88410 multipurpose paper, 20 lb, 10 reams per case - 10 cases at $44.90, cost center 100 Admin
- $449.00
- TR-21077 black high-yield toner, this item number only, no compatible substitute - 3 ea at $121.50, cost center 100
- $364.50
- TR-50922 letter hanging file folders, box of 25 - 10 boxes at $18.40, cost center 210 Leasing
- $184.00
- TR-63318 blue gel pen, 12 per box - 15 boxes at $9.60, split 8 boxes to cost center 100 and 7 to 210
- $144.00
- TR-30145 dry-erase marker, 4 per pack - 8 packs at $7.25, cost center 210
- $58.00
- TR-91260 breakroom coffee, 42 single-serve cups - 9 boxes at $32.75, cost center 100
- $294.75
- Order subtotal, the figure the office manager checked against the limit, $5.75 under it
- $1,494.25
- Sales tax, shown here at an illustrative 7.25% on the taxable lines
- $108.33
- Shipping, waived above $75 under account 44821
- $0.00
- Delivered total on PO OS-2026-0312, $102.58 above the limit the subtotal cleared
- $1,602.58
The limit is the trap. Most approval ceilings name a dollar figure and never say which figure, so an order that clears at $1,494.25 on screen arrives at $1,602.58 with tax on it. Write the limit as inclusive of tax and fees, and approve against the delivered total. The rate used here is illustrative, and which lines are taxable varies by jurisdiction, so confirm yours.
When this document is the right choice
Use this purchase order to authorize a purchase before a supplier fulfills it. A purchase order comes from the buyer and authorizes an order. The supplier later sends an invoice that references the PO number for matching and payment.
Frequently asked questions
My limit is $1,500 and the subtotal was $1,494.25, but the invoice says $1,602.58. Did I break the limit?
Probably, and that is a wording problem rather than a spending one. Most standing limits are written as a dollar figure with no statement of which figure, so the person approving checks the screen subtotal and the invoice arrives with tax on it. Fix it in the policy by saying the limit applies to the delivered total including tax and fees, then put that total on the purchase order so the approver signs the number that will actually be billed.
Two departments share one line of pens. How do I split it on the order?
Either split the quantity across two lines, each with its own cost center, or write the split on the single line so whoever codes the invoice does not have to guess. Two lines is cleaner when the split is fixed, because the invoice can then be coded straight from the purchase order. One line with a stated split works when quantities move, as long as the split is expressed in units rather than a percentage of a total nobody recalculates.
The supplier has us on an automatic replenishment schedule. Does a purchase order still apply?
A standing replenishment feed bypasses the whole control, because shipments generate themselves and the invoices arrive with no order to match. If you keep it, issue a purchase order for the period listing the items, the quantities per cycle, the cost centers, and a total the schedule is not allowed to exceed, then compare each invoice against it. Otherwise the only party who knows what is coming next month is the supplier's system.
Do we really need a purchase order for a routine supply run?
You need one as soon as more than one person can commit spend. The document is what carries the approver, the cost center, and the item numbers into invoice review, and without it the invoice gets approved on trust by whoever recognizes the supplier's name. For a one-person office it is overhead. For twenty-eight staff across two departments sharing an account number, it is the only thing that makes the invoice checkable at all.
Everything lands at one reception desk even though two departments ordered. How do we fix that on the order?
Separate the bill-to from the ship-to, give the ship-to an attention line and a floor, and ask the supplier to print the cost center or the requester's name on the carton labels. Most will carry a reference through if the order asks for it, and that reference is what turns an unmarked pallet at reception into two deliveries that walk themselves upstairs. If the departments sit in different buildings, issue two orders rather than one order with two addresses.
