Free Equipment Rental Cash Receipt Template & Generator
A cash rental transaction mixes money that behaves differently: rental days you have earned, delivery you have performed, tax on whatever your state taxes, and a security deposit you are only holding. This receipt keeps those apart and ties them to the rental agreement, the unit and serial number, and the out and due-back dates, then records the cash counted, change returned, the rental balance, and what stays open until the return inspection.

Use-case checklist
What to include in a equipment rental cash receipt
Rental arguments happen at return, not at checkout, and they are about the deposit. The customer expects $500.00 back; you have fuel to replace, two extra days on the meter and a cleaning charge. If the checkout receipt recorded one lump sum, nothing shows that the deposit was a separate refundable amount held under the agreement rather than part of what the rental cost. Cash makes that worse, since neither side can point at a card hold. It cuts the other way too: a deposit receipted as though it were rental income distorts your bookkeeping and can misstate what you actually earned in the period. Keep condition findings off this slip and inside the signed checkout and return reports, where photographs and a signature belong.
- rental company, customer, agreement, and asset
- rental period and charge allocation
- rent, delivery, deposit, fuel, or cleaning
- cash amount, date, receipt number, and receiver
- deposit status and remaining balance

How to make an equipment rental cash receipt in 6 steps
Open the cash receipt generator
Start from this page so the cash receipt opens with fields and sample lines already set up for equipment and tool-rental businesses accepting cash. No account is needed to create or preview.
Enter both parties
Add your business name, address and contact details, then the customer name and address exactly as they should appear on the record.
Add the equipment rental lines
Replace each sample line with the real work or goods. Make sure the document shows rental company, customer, agreement, and asset, rental period and charge allocation, rent, delivery, deposit, fuel, or cleaning.
Check the figures
Totals calculate as you type. Confirm quantities, rates, any tax line and the final total against your own records before you send anything.
Set the reference and dates
Give the cash receipt a unique number and the correct date so it can be traced later and matched to related documents.

Worked example
Four days on a mini excavator, delivered, with a refundable deposit
Cross Creek Rental sent a mini excavator, unit 214, out to Vaughn Landscaping on October 5, 2026 under agreement RA-7742, due back on the ninth. Trevor Vaughn paid four rental days, round-trip delivery, tax and a refundable security deposit in cash at the counter.

- $103.31
- Refundable security deposit held under agreement RA-7742, not a rental charge
- $500.00
- Total cash due at checkout
- $2,028.31
- Cash counted with the customer at the counter
- $2,100.00
- Change returned

- Still open at return: extension days, fuel and cleaning, assessed against the deposit
- Assessed Oct 9, 2026
The line that prevents the return-day argument is the one calling the $500.00 a refundable deposit held under the agreement. Label it at checkout, not at return, and state what can be charged against it before the machine leaves the yard. The 7.25% here is an example only: both the rate and whether rental and delivery are taxable at all are set where you operate, so have your accountant confirm yours.
When this document is the right choice
Use this cash receipt to document a cash payment at the moment it is received. A cash receipt should identify the payer, amount, purpose, date, and person receiving the money. Keep a matching copy because cash does not create an automatic bank-card record.
Frequently asked questions
Should a security deposit be taxed and counted as rental income on the receipt?
Give it its own line, labeled as refundable and held under the agreement, separate from the rental and delivery charges the tax was calculated on. Whether a deposit is taxable, and whether it becomes taxable if you later keep part of it for damage or cleaning, depends on your state, and that answer can differ from the treatment of the rental itself. Ask your accountant to set both the tax and the bookkeeping treatment before you standardize a counter form.
The customer keeps the machine two extra days. Do I amend the original receipt?
No. Write a second receipt for the extension, referencing agreement RA-7742 and the original receipt number, showing the extra days at the agreed rate, tax if your state charges it, the new total paid, and the deposit still held. The first receipt stays exactly as written, because it is what the customer was handed on October 5. Two clean documents beat one edited document every time a return gets contested.
How do I record fuel and cleaning charges taken out of the deposit?
At return, issue a settlement receipt of its own rather than writing on the checkout slip. List each charge with its basis, for instance gallons replaced at your posted rate and a cleaning charge under the agreement, subtract them from the $500.00 held, and show the amount returned to the customer in cash. Back the charges with the signed return report and its photographs: the receipt records money, the report records condition.
What identifiers belong on a rental receipt that are not on an ordinary sales receipt?
The agreement number, the unit number and serial number of the asset, and the out and due-back dates. Those are what let you match a payment to one specific machine months later, when the question is which customer had that excavator when a hydraulic line failed, or when an insurer asks. A general description such as mini excavator stops being useful the moment you own three of them.
The customer adds a damage waiver at the counter. Where does it belong on the receipt?
On its own line, worded the way your rental agreement words it, never folded into the daily rate and never sitting beside the security deposit as though the two do the same job. A waiver changes what you will charge the customer under the agreement; the deposit is money you are holding and expect to hand back. How a waiver may be described to customers, and whether it is taxed, can be regulated separately from your rental charges and differs by state, so have your attorney and your accountant settle both the wording and the treatment before it goes onto a counter form.
